Apollo sells a B2B contact database and a sequencer in one per-seat subscription. For a five-person startup that is the whole outbound stack in one card swipe, which is why Apollo, not Outreach, is the tool most SDRs at small companies learn on. Its own newsroom counts nearly 5M users, 100K+ paying customers and 600K+ companies as of October 2026.
The surprising fact: the company that dominates SMB prospecting data is quietly rebuilding the volume-sending layer that Instantly and Smartlead own. Apollo now sells domains and mailboxes inside the product, auto-configures SPF/DKIM/DMARC and runs warmup through Warmbox.ai. It is moving toward Instantly from the data side while Instantly moves toward Apollo with lead databases.
What it sells
- Data: Apollo claims 240M contacts, 30M companies and 98% email accuracy. Independent audits are harsher (see below).
- Sequencing: email, dialer and task steps, with mailbox limits by plan. See Sequencing & sending.
- Platform sprawl: Sacra lists Scores & Signals (against Clay), a meeting suite (against Gong/Calendly) and Workflows (against Zapier). On 30 September 2026 Apollo launched an "AI GTM System": Builder Studio (natural-language workflow builder), an Intelligence Layer and a "Messaging OS" covering email campaigns and ad audiences.
- Data-as-infrastructure for agents: on 15 September 2026 Apollo was named flagship data partner for Hunter, Salesforce's outbound sales agent, with general availability planned for November 2026. Apollo also reports MCP usage up 4x between March and August 2026.
How it prices
Seat plus credits. Credits are pooled across the team, granted upfront each cycle and do not roll over.

As of October 2026 the live pricing page FAQ names the tiers Free, Basic, Professional and Custom, and Costbench logged a 28 March 2026 change that cut the top tier to $119 and added an Enterprise tier. The tier names are in flux.
Docket says active teams "routinely reach $150–$400 per user per month": a phone lookup costs 8 credits, credits expire monthly and overage runs $0.20 per credit. Seat-plus-credit pricing is how Apollo stays cheap on the page and expensive in practice.
Who uses it and why
Founders and small SDR teams (Founders and small B2B teams, In-house SDR teams) buy Apollo because one subscription replaces a data vendor and a sequencer. Agencies and volume senders use it mostly as a list source and send elsewhere. Prospeo's 2026 guide recommends exactly that stack, Apollo for data plus Instantly for sending, at roughly $79–118/month. Upmarket, Apollo is pushing into teams that would have bought ZoomInfo; it reports 100+ teams at Fortune 500 companies.
Where it is strong
- Distribution. Freemium plus a database is the strongest top-of-funnel in sales tech. Users doubled year over year to 5M (vendor claim).
- Price/coverage ratio against ZoomInfo, where contracts run $15K–40K+ a year (third-party estimate).
- Consumption momentum. Apollo says daily credit consumption rose nearly 10x from March to August 2026, which mostly reflects agent and API traffic.
Where it is weak
- Volume sending. Apollo's help centre recommends 50–100 emails per mailbox per day, 10–20 per hour, and waiting for a 5%+ reply rate before raising volume, with "up to 15 mailboxes per user" depending on plan. That suits a rep's work. It does not suit an agency running hundreds of inboxes. See Sending limits and throttling and Inbox rotation.
- Deliverability reputation. Practitioner content blames stale database contacts and shared tracking and infrastructure reputation. Prospeo cites one case going from a 0.56% reply rate on Apollo's sequencer to 5.5% on Instantly with the same leads and copy. That is a single anecdote from a competing data vendor, but it matches the reputation.
- Data accuracy. The same source reports an audit where only 19% of "verified" addresses were fully valid. See Email verification.
MailReach and Docket say Apollo discontinued warmup in 2024. Apollo's own help centre (October 2026) describes warmup via Warmbox.ai, 10–40 emails a day, one mailbox per seat included. Treat the current product as "warmup reinstated through a third party". Logged in Contradictions register.
Trajectory
Sacra estimates ARR at $96M (2023), $134M (Dec 2024) and $150M (May 2025). Growth slowed from 100% to about 40% over that period. The last priced round was the August 2023 Series D at $1.6B, led by Bain Capital Ventures.
Apollo's August 2026 releases quote Matt Curl as CEO and mention a new CFO, Phil Moon, hired May 2026. The About page still lists founder Tim Zheng as CEO. We could not date the handover. Sacra also notes a May 2026 claim that revenue "has grown more than fivefold" since the Series D; we found no primary source for it.
Our read: Apollo is turning into a data and context layer for agents (Salesforce Hunter, MCP) with a "Messaging OS" on top. A CFO hire plus an agent-platform story usually precedes a fundraise or an IPO.
What this means for an entrant
- Do not fight Apollo on data. Integrate it. Apollo, Prospeo and others are your Contact data and enrichment inputs. Your edge is what happens after the list exists.
- Apollo's limits are your acquisition channel. Every team that hits 50–100 sends per mailbox per day, or sees reply rates collapse, goes looking for a sender. An import that turns "Apollo list + sequence" into "your platform with inbox rotation" in one click is a direct wedge.
- Watch the deliverability suite. Apollo now sells domains, mailboxes and warmup. If it ships unlimited-inbox rotation, the "Apollo + Instantly" stack collapses into one bill. Your answer has to be measurably better inbox placement, not feature parity. See Inbox placement testing.
- Agents will buy sending as an API. Apollo became the data partner for Salesforce's outbound agent. Nobody has yet become the trusted sending partner for agents. See AI SDR layer and API, webhooks and MCP.
